Connect your AI providers
Connect each AI tool or model API your company pays for, so its spend shows in Flowstate, against the people who used it where the provider reports that. Start here, then follow the guide for each provider.
What you can connect
"Invoiced" cost is the provider's own figure. "Estimated" cost is worked out from usage, as the provider's guide explains.

Every connection syncs every hour.
Two other ways to see AI use:

Before you start
- You need access to connect AI providers. Ask your Flowstate admin.
- Load your people and teams first, with work email addresses. Flowstate matches each provider's users to your people by email.
- The spend screens under Insights → Agent insights appear once your Flowstate contact has switched on AI spend.
1. List the AI tools you pay for
What: Agree which provider accounts to connect, and who has admin access to each one. Who: Finance lead, with IT. Where: Your AI invoices, and What each connection brings. Done when: You have a list of providers, with a named admin for each.
2. Create a read-only key at each provider
What: Create the key, token or access Flowstate reads billing with. Who: The admin for that provider. Where: The provider's own console. Each provider's guide has the steps. Done when: You have the key ready to paste into Flowstate.
3. Connect each provider in Flowstate
What: Add each key to Flowstate. Who: Flowstate admin, with the provider admin. Where: Settings → Integrations, then Browse catalog. Done when: The provider's tile shows Connected, and its key shows Working under Connected keys.
- On Settings → Integrations, select Browse catalog.
- Under Filter by capability, choose AI spend, and open the provider.
- Under How to connect, select Use this route.
- Enter the key and select Verify and connect.
Your past spend starts coming in straight away. On the provider's page you can Sync now, Replace key, Rename connection or Disconnect.
4. Check spend is matched to people
What: Make sure spend lands against the right people. Who: Flowstate admin. Where: Insights → Agent insights. Done when: Spend from each provider appears, and providers that report per person show your people's names.
- Flowstate matches a provider's users to your employees and contractors by email address.
- Anyone who doesn't match is matched once you add them to Flowstate or correct their email.
- Providers that only report a total have nobody to match. See What you can connect.
What each connection brings
The table in What you can connect shows which providers report per person and which only send a total. Each provider's guide has the rest, including how much history comes in. For how AI spend shows across Flowstate, see AI usage providers.
You're set up when
- Every provider on your list shows Connected in the catalog.
- Spend from each one appears under Insights → Agent insights.
- Providers that report per person show your people, not unmatched users.
If something's not right
"You do not have permission to connect provider keys. Ask an administrator." Ask your Flowstate admin to connect the provider for you.
"That key was refused." Check you copied the whole key, and that it's the type the provider's guide asks for.
Spend shows, but not against people. The provider only reports totals, or its users' email addresses don't match anyone in Flowstate. Add or correct those people.
For your technical team
Amazon Bedrock, Azure OpenAI, and Google Cloud for Gemini and Vertex AI connect through access you grant in your cloud account, not a pasted key. No long-lived secret leaves your cloud account. Each provider's guide has the set-up.
