Manage your profile and security

Your profile holds your name, your preferences and the ways you confirm it's you when you sign in. The organisation menu and the help menu, covered below, are where you switch organisation, get help and log out.

Anyone signed in to Flowstate can do this.

Open your profile

1. Select your organisation's name at the top of the sidebar to open the organisation menu. In the Flowstate desktop app for Mac, it's in the top bar.
2. Select Preferences.

The page is titled Profile.

Change your name or picture

1. Under Profile Information, change your Display Name.
2. To show a picture, enter the web address of an image in Avatar URL. Without one, Flowstate shows your initials.
3. Select Save Changes.

Your email address can't be changed here. If it's wrong, ask your Flowstate admin.

Choose your preferences

Under Preferences, each change saves as soon as you make it.

Setting	What it does
Show welcome banner	Shows the welcome banner and the option to take a tour of Flowstate on your Inbox
Show scenario planning tour	Shows the tour the first time you open a scenario. Tick it to see the tour again
Language (Beta)	The language Flowstate shows you: English (UK), English (US) or Português (Portugal)

Choose how often you get the task digest

The task digest is an email summary of the tasks waiting in your Inbox.

1. Under Notification Preferences, open Task digest frequency.
2. Choose Daily, Weekly or None.

It saves straight away. If the list is greyed out and says "Managed by your administrator", your organisation sets the digest for everyone and you can't change it.

Add a passkey

A passkey lets you sign in with Face ID, Touch ID, Windows Hello or a security key, with no emailed link.

1. Under Security, find Passkeys and select Add.
2. Give it a name if you like, such as "Work laptop", so you can recognise it later.
3. Select Add passkey.
4. Follow your browser's prompt.

Your passkey appears in the list with the date you added it and when you last used it.

Remove a passkey

1. Under Passkeys, select the bin on the passkey's row.
2. Select Remove to confirm.

You can't use that passkey to sign in any more.

Set up an authenticator app

An authenticator app, such as Google Authenticator, 1Password or Authy, gives you a 6-digit code to enter when you sign in with an emailed link.

1. Under Authenticator App, select Set up.
2. Scan the QR code with your app. If you can't scan it, type the key shown under Or enter this key manually: into your app.
3. Enter the 6-digit code your app shows.
4. Select Verify and enable.

The section then says "Your authenticator app is set up".

Remove your authenticator app

1. Under Authenticator App, select Remove.
2. Select Remove to confirm.

To use an authenticator app again later, set it up again.

You always keep one way to confirm it's you

You can't remove your last passkey unless you have an authenticator app, and you can't remove your authenticator app unless you have a passkey. If the button is greyed out, hover over it:

• "Set up an authenticator app first" means this is your only passkey.
• "Add a passkey first" means your authenticator app is your only second factor.

Add the other one first, then remove the one you don't want.

Switch organisation

If you belong to more than one Flowstate organisation:

1. Open the organisation menu.
2. Under Switch Organisation, select the organisation you want. A tick marks the one you're in.

Flowstate reloads in that organisation. If you only belong to one, Switch Organisation isn't in the menu.

Open organisation settings

1. Open the organisation menu.
2. Select Organisation settings.

It's only in the menu if your role gives you access to at least one part of settings. See Settings and admin.

Switch between light and dark mode

At the bottom of the sidebar, next to the Flowstate logo, select the moon to switch to dark mode, or the sun to switch back to light. Flowstate remembers your choice next time you sign in.

Get help

Select the question mark in the top bar to open the help menu.

Report an issue	Opens a form to tell Flowstate about a problem
Contact support	Opens a new email to support@flowstate.inc

To report an issue:

1. Select Report an issue.
2. Describe what you were trying to do and what happened instead.
3. Add a screenshot if it helps.
4. Select Submit Report.

Details you add to the report may include your organisation's data, so Flowstate can look into the problem.

Log out

1. Open the organisation menu.
2. Select Log out.

You're taken back to the sign-in page.

If something's not right

The Remove button or the bin is greyed out. It's your only second factor. See the tip under Remove your authenticator app.

"Invalid code" when setting up an authenticator app. Wait for your app to show a new code and enter that one. Check you scanned the QR code for Flowstate, not an older entry in your app.

Your browser doesn't show a passkey prompt. Your browser or device might not support passkeys. Try another browser, or set up an authenticator app instead.

You can't change the task digest. Your organisation manages it for everyone. Ask your Flowstate admin.

Organisation settings isn't in the menu. Your role doesn't include any settings. Ask your Flowstate admin if you need access.
