Set up business metrics
Business metrics count what your teams produce and price each unit with the people and AI behind it. Do this once before any checklist that uses them, such as Prove AI's return with business metrics.
An operations or finance lead owns this, with a Flowstate administrator and your Flowstate contact.
Before you start
- Load your people and teams, with salaries and rates for the people who produce the output. Without them there's no cost to divide.
1. Switch on the module
What: Ask for Business metrics. Ask for Hybrid workforce too, if you want people and AI on one bill across the organisation. Who: Implementation lead. Where: Your Flowstate contact. Done when: Insights → Business metrics opens on the Metrics tab, not a page describing the module.
2. Give people access
What: Decide who defines metrics and who reads them, and give their roles the matching permission:
- View Business Metrics to read metrics. To see costs, people also need to see cost figures elsewhere in Flowstate. Without that, they see volumes and AI share only.
- Manage Business Metrics to create and edit metrics, record readings and see Event sources.
- Ingest Business Metric Readings for the API key another system uses to send readings. The person who creates that key needs this permission too.
Who: Flowstate administrator. Where: Settings → Users & Access → Roles. See Roles and permissions. Done when: Whoever defines metrics sees New metric on the Metrics tab, and the people who'll read them can open Insights → Business metrics.
3. Define a metric
What: Create a metric for one thing you count: its Name, Unit, Direction, how often it's Reported, and Whose cost this is. In its Description, write what counts as one, and what counts as done without a person. Who: The metric's owner, with manage access. Where: Insights → Business metrics → Metrics → New metric. See Create a metric. Done when: The metric is listed under the people you chose, not under Not attributed to anyone yet.
4. Choose where its readings come from
What: Decide how readings arrive: Entered by hand on the metric's page, or Pushed in from another system through the API. Who: The metric's owner. A developer, if readings are pushed in. Where: Event sourcesDone when: The first readings are in, and Insights → Business metrics → Event sources shows the source as Active.
You're set up when
- Insights → Business metrics lists your metric under the people who produce it.
- Its source shows Active on Event sources.
- The metric shows a Volume and a Cost per unit.
