Check and fix syncing
Sync Health shows whether Flowstate is still receiving work from your project tool and GitHub. Use it to run a sync straight away, stop one that's stuck, and retry changes that didn't arrive.
You need access to integrations. Ask your Flowstate admin.
AI providers aren't on this page. Check them on the provider's own page under Connected keys. See Connect your AI providers.
Open Sync Health
- Go to Settings → Integrations → Sync Health. The page is titled Data Synchronisation.
- Select the tab for your tool. There's a tab for each connected project tool, and a GitHub tab if GitHub is connected.
A red number on a tab counts the problems on it.
Read a tool's tab
| Status | What it means |
|---|---|
| Healthy | Syncing normally. |
| Syncing | A sync is running now. |
| Needs attention | Some changes sent by webhook are waiting to be retried. |
| Error | The token has stopped working, webhook changes keep failing, or the last sync failed. |
Below the status you'll see:
- Banners for anything that needs you, such as Last sync failed or Sync may have stalled.
- Counts of the Projects, Tasks, Users and Activities brought in.
- Sync history, with each sync's When, Status, Projects, Tasks, Activities, Users, Duration and Trigger. Point at Failed to read the error.
A sync marked Waiting for another sync hasn't failed. It starts by itself when the sync before it finishes.
Run a sync now
- Select Sync now.
Done when: the status shows Syncing, and the new row in Sync history ends as Success.
To bring in new projects without waiting for a full sync, for example when you've just created an epic and want to link it, select the ⋮ menu beside Sync now, then Sync projects only.
Stop a stuck sync
Sync may have stalled means no progress has arrived for a while.
- Select Cancel.
- Select Sync now to start again.
Done when: the stuck sync shows Cancelled in Sync history, and the new one is running.
Reset and run a full sync
Use this when syncs keep failing, or the data looks out of date and Sync now hasn't fixed it. Fix the cause first, such as an expired token.
- Select the ⋮ menu beside Sync now.
- Select Reset & full re-sync.
- Select Reset & re-sync to confirm.
This clears the tool's Sync history and any webhook changes still waiting, then runs a full sync. Projects, tasks and activity already brought in are kept.
Done when: a new sync appears in Sync history and ends as Success.
Retry changes that didn't arrive
When changes sent by webhook fail, a banner shows how many failed or are waiting to be retried.
- Select Retry All on the banner.
Done when: the banner has gone. If they fail again, look for an "authentication failed" banner and fix that first.
Fix an authentication failure
If the tab says "authentication failed — sync is paused", the token Flowstate reads your tool with has expired or been revoked. Replace it, then select Sync now:
The GitHub tab
The top of the tab shows the status (Healthy, Needs attention or Error), your GitHub account, when the last event arrived, and when your history was last brought in.

| A backfill is currently running | Wait. Sync in progress shows how many repositories are done. |
| The last backfill stalled and will be restarted | Wait. It starts again by itself. |
| No backfill has run yet | Select Run backfill. |
| Webhook deliveries are retrying | Wait. |
| Webhook deliveries have failed | In GitHub, check the Flowstate app is still installed and your repositories are still included. |
| Some commit authors aren't mapped to people | Match them. See Match people and teams from your tools. |
Settings opens the Configure GitHub page. See Connect GitHub.
If something's not right
Nothing is showing yet. The first sync reads your history, so it takes a while. The tab shows Syncing until it's done.
My tool has no tab. It isn't connected, and the page may say "No data sources connected". Connect it from Settings → Integrations → Browse catalog.
A sync never finishes. Stop it and start again.
Someone's work is missing. Their account in your tool isn't matched to a person. See Match people and teams from your tools.
