Write and submit a justification

Use this when Flowstate asks you to review the CapEx justification for a project you own.

Flowstate has already drafted it from the project's tickets, pull requests, people and cost. Your job is to check it's true, fix what isn't, and submit it. How the draft was made is on How CapEx justifications are drafted.

You can do this for projects you own. If a project's owner doesn't have a Flowstate account, their manager or team lead is asked instead.

Review and submit

  1. Open the task in your Inbox or the email (Open the justification). Or go to Finance → Capitalisation → Projects, open the project, and select the Rationale tab.
  2. Read each section. Each one is a single paragraph.
  3. Correct anything that's wrong by editing the text. Flowstate won't rewrite a section once you've typed in it.
  4. If a section says No draft yet., select Draft with AI. If it says AI drafting failed, select Retry.
  5. Optionally, open AI Interview and answer the questions the evidence couldn't. You can skip any of them.
  6. Select Submit for Review.

If Draft with AI, Retry or AI Interview doesn't work for you, write the section yourself or ask your finance team to redraft it.

Tip

To change the whole draft in one go, select Propose Changes, describe what you want, and select Propose.

What happens next

Answer an approver's comments

When an approver asks for changes, the writer shows Feedback and lists their comments by section, with how many are resolved.

  1. Read each comment. To see it in place, select the highlighted text in the section.
  2. Edit the section.
  3. To reply, type in Reply... under the comment and select the arrow.
  4. When you've dealt with a comment, select Resolve on it in the list.
  5. When you've finished, select Resubmit.

If something's not right

"Data readiness check" appears instead of a draft. The project doesn't have enough evidence yet. Use the links beside what's missing, such as Link a PMS project or Assign a cost centre, or select Generate draft anyway.

Submit for Review is greyed out. A section is still drafting or failed, or a required section is empty. Hover over the button to see which.

"Draft outdated — project data has changed since last generation". The project changed after drafting. Select it to redraft the sections nobody has edited, or check them yourself before you submit.

"No jurisdiction configured". Your organisation hasn't chosen a CapEx framework. Ask your finance team — see Set up capitalisation.
