Snapshot the forecast as a budget

Use this when the plan in Flowstate is already agreed and you want it as the budget without asking every manager — or when you want something to track against before your first budget run.

A snapshot is a frozen copy of the forecast. Later changes to your live records don't alter it; they show as drift against it.

Anyone who can open Finance → Budgets → Budgets sees New version. To take a snapshot, you also need access to the forecast — ask your Flowstate admin.

Take a snapshot

  1. Go to Finance → Budgets → Budgets.
  2. Select New version, then Snapshot live forecast. If you have no budgets yet, select Budget from snapshot.
  3. Choose the Fiscal Year — the current one or one of the next two — and add Notes saying why you took it.
  4. Check the version number. If the year already has a budget, the new version replaces it as the active one.
  5. Select Take snapshot. It can take up to two minutes.

The version appears under its fiscal year as the next number — v1, v2 and so on.

Roll back a version

If you took a snapshot by mistake, make the previous version active again.

  1. On Finance → Budgets → Budgets, hover over the active version and select Roll back.
  2. Confirm.

The version is marked Rolled back, and the previous version is the active budget again.

Roll back only appears on the active version, when there's an earlier version to go back to, and only if your role lets you take budget snapshots.

If something's not right

"Failed to create budget". Your role may not include the forecast. Ask your Flowstate admin. If it does, try again.

You can't see Finance → Budgets → Budgets. It's for people with access to budgets across the organisation. If you only see Budget requests, your access covers your own teams — ask your Flowstate admin.

There's no Roll back. The version isn't the active one, there's no earlier version for that year, or your role doesn't let you take budget snapshots.
