Review and approve a justification

Use this when a project owner has submitted a CapEx justification for you to review.

You review justifications if you're on the Approval Stage in Settings → Finance → Cost Capitalisation Review — ask your finance lead to add you. See Set up capitalisation.

Find what's waiting for you

  • Go to Finance → Capitalisation → Rationales and filter Status to In review.
  • Or, on Finance → Capitalisation → Projects, look for Your approval in the Rationale column.

Approve

  1. Open the project's justification.
  2. Read each section. Leave a comment on anything the owner should know.
  3. Optionally, mark sections with Approve Section as you go.
  4. Select Approve.

The justification moves to Approved, and the people on the Completion Stage are asked to complete it.

Tip

One approval from anyone on the Approval Stage approves the justification, so nobody else needs to sign off.

Ask for changes

  1. Mark each section that needs work with Request Changes.
  2. Leave a comment on each, saying what's wrong.
  3. Select Request changes.

The owner is asked to edit the marked sections. When they select Resubmit, it comes back for review.

Leave a comment

You can comment in the margin while a justification is in review, and after changes have been requested.

  1. Select the text you want to comment on.
  2. In the toolbar that appears, select the comment button (Comment), or press Cmd+Shift+M (Ctrl+Shift+M on Windows).
  3. Type your comment and select the arrow.

The text stays highlighted so the owner can find it.

  • Reply: select the highlighted text, type in Reply... and select the arrow.
  • Resolve your comment: hover over it and select the tick.
  • Change or remove your comment: open its menu and choose Edit comment or Delete comment.

The owner sees your comments under Feedback and marks each one resolved as they make changes.

Not available yet

There's no Reject button on a justification. To stop a project being capitalised, ask for changes, and agree with the owner and finance to move the project off its CapEx cost centre.

If something's not right

"Only a designated reviewer can act on this submission". You aren't on the Approval Stage. Ask your finance lead to add you.

A project you expected isn't in review. Its owner hasn't submitted it yet. Check its status and With on the Rationales tab.

An approver has left. Add someone else to the Approval Stage and select Save Workflow.
