Cost Capitalisation

Decide what to capitalise, attach the rationale your auditors expect, and book the right amount to the balance sheet.

The CapEx overview is the working surface for everyone in the capitalisation flow — finance leads triaging the queue, project owners writing rationale, approvers signing off. It pulls every project Flowstate considers a CapEx candidate into one place, shows you the effort and cost behind each one, and tells you exactly what state every claim is in.

What you see on the overview

Two charts at the top: Effort by cost centre (stacked monthly cost or FTE) and Forecast vs actual (capitalised vs operational, accumulated). Both respect the active date range and any filters.

Below that, the project table. Each row is one project under capitalisation review, with:

  • StatusAI Drafting, Pending Rationale, In Review, Changes Requested, Rejected, Approved, Completed.
  • Cost centre — drives the CapEx vs OpEx split.
  • Owner — the project owner; CapEx workflow stages route to specific approvers, not the owner.
  • Effort and cost — totals across the date range, with FTE and monetary values both available.
  • Lifecycle stage — Proposed, Approved, In Progress, Blocked, Completed, Rejected, Cancelled, or Unassigned.

Filter, group, sort

Use the toolbar to narrow the queue:

Saved views persist your group/sort/filter combination per page.

Bulk actions

Select rows to enable the bulk action bar. From there:

  • Reassign effort — move logged effort from one project to another, splitting by person or by week. Wired to the same engine as the per-project reassign workspace.
  • Set cost centre — bulk-update the project-cost-centre binding, which changes the CapEx side of the split immediately across all forecasts.
  • Export — drop the current filtered view to CSV for the close pack.

TIP

Reassignments fire through bulkReassignEmployeeEffort and bulkReassignContractorEffort in parallel when a selection mixes types. You get a 15-second undo on the toast — best-effort revert when the entire selection shared one source project.

The four next steps from here

  1. Recommendations — projects the AI thinks should be capitalised, ranked by EBITDA impact. Accept or dismiss in one click.
  2. Per-project review — open one project, write its rationale, reassign its effort.
  3. Completed claims — what has been booked, when, with annual depreciation calculated.
  4. Approval workflow — configure who signs off and the stages a claim has to pass.

Permissions

The overview requires FINANCIALS_VIEW_SUMMARY to see costs; the project list itself is visible to anyone with ROADMAP_PROJECTS_READ. Bulk reassignment is gated on ROADMAP_PROJECTS_UPDATE — the bulk action bar hides itself when the viewer lacks the capability.
