Export your capitalisation figures

Flowstate gives you your capitalisation figures, and the evidence behind them, as Excel workbooks and Word documents. Take them into your own close process — Flowstate doesn't post journals to your ledger.

You need access to detailed financial figures — ask your Flowstate admin.

Overview workbook

  1. Go to Finance → Capitalisation and open Overview, Targets, Teams or Projects.
  2. Set the period, Reporting source and Resource type. For a close, use Effort submissions.
  3. Select Export.
  4. In Export CapEx Overview, check the Period and Reporting source, then select Export.

The workbook adds up to what the Overview shows. It has three sheets:

  • Summary — the period's totals by category.
  • Project Breakdown — each project's cost centre, dates, days and cost for employees, contractors and AI, and any cost after it ended. A project with time logged after its end date appears twice: once on its running cost centre with the dates it ran between, and once on its post-completion cost centre, starting the day after it ended with no end date.
  • No-effort staff cost — people paid in the period who recorded no effort, and their cost.

Spend timeline

  1. Go to Delivery → Roadmap → Spend timeline.
  2. Set the months you're closing.
  3. Filter to what you capitalise — for example, set Cost centre to your CapEx cost centres.
  4. Select Export.

You get one row per project and one column per month, following the tab's filters and grouping. See Spend timeline.

Tip

The spend timeline always uses submitted effort. To make the Overview workbook match it, set Reporting source to Effort submissions and choose the same resource types.

One project's justification

Once a project's justification is Approved or Completed:

  1. Go to Finance → Capitalisation → Projects, open the project, and select Rationale.
  2. Select Preview DOCX for the justification document, or Preview XLSX for its cost workings. Once it's completed, Export Final also downloads the document.

The workings show how the project's cost was built: each day of effort, the salaries and contractor rates used, the cost worked through for employees and contractors, and cost by cost centre and by month.

Justification pack

For up to 100 projects at a time.

  1. Go to Finance → Capitalisation → Rationales and select Select.
  2. Tick projects, or select Select all in view. Projects without a justification can't be ticked.
  3. Select Export rationales for one Word document, or Export cost workings for one workbook.
  4. Select Done.
  • Export rationales starts with a Capitalisation pack cover and a completeness list, then each project's justification. Unfinished justifications are included with gaps where sections are empty, so check the completeness list before you send it.
  • Export cost workings has a summary row for each project, then cost by month, each person's effort and cost, and how the figures were worked out.

If something's not right

"Access denied: Financial permissions required". You don't have access to detailed financial figures. Ask your Flowstate admin.

There's no Select button on Rationales. You don't have access to export justifications. Ask your Flowstate admin.

There's no Export button. Initiatives and Unclaimed don't export. Use Teams or Projects.

The spend timeline shows days, not money. You don't have access to financial figures. Ask your Flowstate admin.
