Change a team's budget mid-year
Use this when a team's budget needs to change after the budget was accepted — an unplanned hire, a new initiative — without running a whole new budget request.
You model the change in a small plan for the team, finance approves it, and the team's budget is re-set from the date you choose. Earlier versions of the team's budget are kept.
You need access to budget proposals to propose a change, and access to accept budgets to approve one — ask your Flowstate admin.
Before you start
The team needs its own budget from an accepted budget run. A snapshot doesn't give teams their own budgets.
Propose a change
- Go to Finance → Budgets, open the active budget version, and select the Adjustments tab.
- Select Propose adjustment.
- Choose the Team, an Effective date and a Reason.
- Select Create adjustment. The plan opens.
- Make the change the team needs — add the vacancy, change the allocation.
- Go back to Adjustments and select Submit on the adjustment's row.
To go back into the plan before you submit, select Edit plan on its row.
Approve or reject a change
- On Adjustments, find the row marked Awaiting finance.
- Select Approve & apply. Or select Reject, give a reason, and select Reject.
If your organisation has named Financial Approvers, only they can approve or reject.

| Awaiting finance | Submitted and waiting for approval. |
| Applied | Approved. The team's budget has been re-set. |
| Rejected | Sent back with a reason. It can be changed and submitted again. |
Applying gives the team a new budget from the adjusted plan's cost and FTE, from the effective date. It doesn't change your live records — make the actual hire or move as usual.
Not available yet
You can't type in a new budget amount or tie a change to an initiative — the new budget always comes from the adjusted plan. Make adjustment in the New version menu says "Coming soon". For a change that doesn't need more budget, make it in live data and track it against the budget.
If something's not right
"Cannot create adjustment proposal: no locked budget envelope for team …" The team has no budget of its own for that year. See Before you start.
"Only financial approvers can approve a budget adjustment." Your organisation has named Financial Approvers, and you aren't one of them.
