Complete a project and capitalise it

Two things happen when a capitalised project finishes. First the project is completed: its status and end date say it's done. Then the capitalisation is completed: someone in finance records the amount capitalised and how it's amortised.

You record the capitalised amount if you're on the Completion Stage in Settings → Finance → Cost Capitalisation Review — ask your finance lead to add you.

1. Complete the project

  1. Set the project's status to done and set its end date. If the project is linked to your project tool, change the status there — Flowstate follows on its next sync. See Projects.
  2. On Finance → Capitalisation → Projects, check the project's Post-completion CC. Cost after the end date goes there.

When the project is complete and its justification has been drafted, the owner is asked to review and submit it.

2. Record what's capitalised

Once the justification is Approved:

  1. Open the project's Rationale tab.
  2. Select Mark Completed.
  3. Enter the Capitalised Amount.
  4. Optionally, choose an Amortisation Period12 months to 60 months, or Custom and a Number of months.
  5. Optionally, change the Amortisation Start Date. It starts as today.
  6. Check the figures, then select Confirm. You can't change them on screen afterwards.

The justification shows Completed.

What happens next

  • Select Export Final or Preview DOCX for the final justification document, and Preview XLSX for its cost workings. See Export your capitalisation figures.
  • Take the figures into your own close. Flowstate doesn't post journals to your ledger.

If something's not right

There's no Mark Completed button. The justification isn't Approved yet.

"Only completion-stage members can mark this complete". Ask your finance lead to add you to the Completion Stage.

A status or end date you changed keeps coming back. The project is linked to your project tool, which sets them. Change them there.

The owner wasn't asked for a justification. Check the project's cost centre is in the CapEx category and your organisation has a CapEx framework. If the owner has no Flowstate account, their manager or team lead was asked instead.
