Copilots

Resourcing → Agents & copilots → Copilots lists the AI tools in use in your organisation, such as Claude Code, Cursor or GitHub Copilot. Use it to find tools people use that aren't connected to a company account yet, and connect them.

Mandated and detected

Status	What it means
Mandated	Your organisation has connected the tool's billing, so its spend comes from the provider.
Detected	Flowstate has seen people using the tool through the Cloud Proxy, but its billing isn't connected.

For a detected tool, Activity shows how many people used it in the last 30 days. Wired to shows how many billing connections a mandated tool has.

Detected tools only appear once your organisation has rolled out the Cloud Proxy.

Connect a copilot's billing

You need access to connect AI providers — ask your Flowstate admin.

1. Open Resourcing → Agents & copilots → Copilots.
2. On a detected tool, select Adopt. For a tool that isn't listed, select Add from catalogue and choose it.
3. Follow the steps on the provider's page to connect it.

Once connected, the tool moves to Mandated, and its spend appears on Insights → Agent insights against the people who used it.

Each product connects separately

Some providers sell several products with separate bills, such as the Anthropic Console API and Claude Enterprise. Connect each one you pay for. See AI usage providers.

Check a mandated copilot

1. Open Resourcing → Agents & copilots → Copilots.
2. Select a tool under Mandated. Its panel opens.
3. Under Usage, read:

Field	What it tells you
Trailing 12-mo spend	What the tool has cost over the last 12 months, from the provider's bill
Connections	How many billing connections your organisation has for the tool
Reporting	How Flowstate gets the tool's usage from the provider, such as Metered API or Seat reporting

4. To see what the tool was used for, select View sessions in insights. Insights → Agent insights → Sessions opens, showing only this tool's sessions.
5. To look after its connections, select Manage in settings. The tool's page in Settings → Integrations opens.

Check a detected copilot

1. Open Resourcing → Agents & copilots → Copilots.
2. Select a tool under Detected. Its panel opens on an overview: 30-day cost (COGS), Users (30d) and Last activity.
3. Select Users to see Who's using it in the last 30 days. Each account is tagged:
   • SSO — the account is matched to one of your people.
   • personal — a personal account rather than a company one.
   • unknown — Flowstate couldn't match the account to anyone.
4. Select Signals to see the tool's sessions in the last 30 days that Flowstate Flagged, with how many flags and when.

A tool used mostly on personal accounts is a good sign people want it. Connecting it gives them a company route and gives you its real bill.

Start monitoring a detected copilot

You need access to connect AI providers — ask your Flowstate admin.

1. On the tool's panel, under Monitor this service, select Start monitoring.
2. The tool's page in Settings → Integrations opens. Follow the steps there to connect its billing.

Start monitoring does the same as Adopt on the list. If Flowstate can't tell which provider the tool belongs to, the catalogue opens instead so you can choose it. Once connected, the tool moves to Mandated.

If something's not right

Trailing 12-mo spend shows — — No spend has come in from the provider for this tool yet. If you've just connected it, wait for the first import to finish.

A detected tool's Users or Signals tab is empty — Both tabs cover the last 30 days. Nobody used the tool, or nothing was flagged, in that time.

A tool you know people use isn't listed — Detected tools only appear once the Cloud Proxy is rolled out. To connect a tool yourself, select Add from catalogue.

Start monitoring takes you somewhere you can't connect anything — You need access to connect AI providers. Ask your Flowstate admin.
