Find people for a project
Use this when a project needs people and you want to know who has the right skills and the time.
Before you start
- The project needs start and end dates. See Projects.
- People need their skills recorded. Skills are listed on Resourcing → People and teams → Skills, and added to a person under Skills on their side panel's Overview.
- Anyone who can open the project can search. To add people, you need access to change them — ask your Flowstate admin.
Steps
Go to Delivery → Roadmap → Projects and double-click the project.
Open the Resourcing plan tab. People is selected on the left.
Type a name in Search people…, or leave it empty to see everyone.
Select Filter, then under Skills tick the skills the project needs.
Switch on Available to leave out people who have left.
Look at the dot beside each person. It shows how much of their time is free while the project runs:
Dot Free during the project Green At least 0.5 FTE Amber Between 0.1 and 0.5 FTE Red Less than 0.1 FTE Hover the dot to see the projects they're already on during those dates, and how much time is left.
Drag the person onto Human resources, or select + on their row.
They're added full time for the project's dates. To change their share of time or dates, see Put someone on a project.
If you have access to cost figures, each row also shows what the person would cost over the project's dates.
Other ways to look
- Across the whole organisation: on Resourcing → People and teams → People, filter by Team, Location, Role, Skills or Line Manager, and search with Find in view….
- On a timeline: on Resourcing → People and teams → Allocations, filter by Skill and look for gaps between bars. See Use the Allocations timeline.
- Ask Eddy, for example "Who is on the Payments team?". See Eddy.
Not available yet
Flowstate doesn't suggest people for a project, list who is on the bench, or show which skills a project is short of. For now, filter the project page by Skills and use the dot, or filter Allocations by Skill and look for gaps.
What happens next
- The person shows on the project's Resourcing plan, on Allocations, and in the forecast.
- Their dot on other projects shows less free time.
- If nobody fits, cover the gap with a vacancy or contractor.
If something's not right
"No people match". Clear the Skills filter, or check the spelling. Search matches names.
A skill isn't in the Skills filter. It's switched off or hasn't been added. Check Resourcing → People and teams → Skills.
The dot is green but the person is busy. The dot only counts time on other projects. Time spent on their team's own work isn't counted. Check their row on Allocations.
Everyone looks free. The project has no dates. Add them; see Projects.
Vacancies aren't in the list. The project page finds employees and contractors. To put a vacancy on a project, see Cover a gap with a vacancy or contractor.
