Cover a gap with a vacancy or contractor

Use this when finding people for a project turns up nobody with the skills or the time.

You need access to add vacancies or contractors — ask your Flowstate admin. To try the plan before it's real, open a scenario first.

Add a vacancy and put it on the project

1. Go to Resourcing → People and teams → Vacancies and select Add.
2. Enter the Role title and Start date.
3. Choose the Team the hire will join.
4. Add a Job role, Target salary, Location, Work type and End date if you have them.
5. Select Create.
6. Go to Resourcing → People and teams → Playground.
7. Select Add a team and choose the vacancy's team.
8. Select Add a project and choose the project.
9. Drag the vacancy from the team's card onto Drag here to assign directly on the project's card.
10. In Assign to Project, enter the Full-time equivalent (FTE), Start Date and End Date.
11. Select Confirm Allocation.

Add a contractor and put them on the project

1. Go to Resourcing → People and teams → Contractors and select Contractor.
2. Choose Add a person.
3. Enter their Name, and choose a Team, Job role and Location.
4. Choose the Rate type and enter the Rate.
5. Set the Start date and End date.
6. Save.
7. Open the project, go to Resourcing plan, and search for the contractor under People.
8. Drag them onto Human resources, or select +.

What happens next

• The vacancy or contractor shows on the project's Resourcing plan tab, and their cost is in the project's forecast.
• When you hire someone into the vacancy, fill it. Their allocations move to the new employee.
• How vacancies and contractors are costed is on How costs are calculated.

If something's not right

The vacancy isn't on the team's card in Playground. It has no team, or a different one. Right-click it on the Vacancies tab, select Manage team allocation, and set its team.

You can't find the vacancy on the project page. The project page finds employees and contractors. Use Playground to put a vacancy on a project.

The contractor's cost isn't showing. You don't have access to pay, or the contractor has no rate.
