Organisation settings

Under Settings → Organisation, the General, Date & Time and Email pages hold settings for your whole organisation: the sign-in page language, your timezone, and how Flowstate sends email.

You need access to organisation settings to change these. Ask your Flowstate admin.

Set the sign-in page language

This sets the language of the sign-in page for everyone in your organisation.

1. Go to Settings → Organisation → General.
2. Under Localisation, choose a Default Language: English (UK), English (US) or Português (Portugal).
3. Select Save.

Tip

Once people sign in, they see Flowstate in the language set in their own profile. Notification emails also use each person's own language.

The same page shows Tenant Information: your Flowstate address and how Flowstate is hosted for you. To change either, contact Flowstate support.

Set your organisation's timezone

Flowstate uses this timezone to decide:

• when scheduled syncs from your project tool run
• which week a timesheet falls in
• when the digest email, and the Slack message team managers get on timesheet day, go out

To set it:

1. Go to Settings → Organisation → Date & Time.
2. Choose your Timezone. The line underneath shows the current time there, so you can check it.
3. Select Save Timezone.

Tip

If your timezone isn't in the list, choose one that has the same local time as yours.

Tip

Settings → Organisation → Notifications has a Timezone field too. It's the same setting, so changing it on one page changes it on the other. See Notifications.

Send email from your own mail server

Flowstate sends email from its own mail service unless you choose otherwise. To send from your company's mail server instead:

1. Go to Settings → Organisation → Email.
2. Under Email Delivery, choose Self-managed SMTP.
3. Enter your mail server's SMTP Host, Port, Username and Password.
4. Enter the From Email and From Name people should see.
5. Set Use TLS to match your port (see the tip below).
6. Select Save Email Settings.
7. Select Test Connection. Connected means Flowstate can reach your server.

Choosing Use TLS

Use port 465 with Use TLS on. Use port 587 with Use TLS off — your server still encrypts the connection if it supports it. Your IT team can confirm which port your server uses.

Tip

Test Connection checks the settings you last saved, so save your changes first. To change other settings without retyping the password, leave Password blank — once a password is saved, the field is marked (saved).

To go back to Flowstate's mail service, choose flowstate-managed and select Save Email Settings. Your server details stay saved in case you switch back.

If Test Connection shows Failed

The reason appears under the fields. Check with your IT team that:

• the SMTP Host and Port are right, and Use TLS matches the port
• the Username and Password are right
• your mail server accepts connections from Flowstate
