R&D archive
Submitted and closed claims, kept with their narrative and cost evidence for the next inspector.
The archive page filters the claims list to two stages: SUBMITTED and CLOSED. Anything earlier in the lifecycle — recommendations, drafts, in-review, approved-but-not-yet-submitted — lives on the overview instead.
What each row shows
| Column | Source |
|---|---|
| Project | The live project the claim was built around |
| Stage | SUBMITTED or CLOSED, badged with the same stage colours used across the workflow |
| Fiscal year | Formatted to the framework's start month (e.g. 2024/25 for UK) |
| Jurisdiction | UK, US, or whichever framework was used |
| Qualifying spend | The qualifying figure recorded at submission, in the framework's currency |
| Credit received | Populated when the claim moves to CLOSED and the authority's assessment is recorded |
| Updated at | Last activity on the claim |
Cost columns require FINANCIALS_VIEW_SUMMARY. Without it, the row still renders the project, stage, fiscal year, and jurisdiction.
Why "archive" not "completed"
R&D claims have a longer tail than CapEx ones. After submission, you are often waiting months for the authority's assessment. A claim can sit in SUBMITTED for a full quarter before moving to CLOSED with the actual credit received. The archive holds both states because both states matter for audit and for forecasting next year's claim.
What the archive preserves
- The narrative as submitted — locked once the claim hits
APPROVED. - The cost evidence summary — links back to the employees, contractors, and effort data that produced the qualifying spend figure.
- The framework version used — important when frameworks change between fiscal years.
- The audit trail — who wrote, who approved, who submitted.
If an inspector asks "how did you get to this number for FY24", the archive answers with one link.
What the archive does not do
- It does not re-open closed claims. If a claim needs to be amended after submission, raise a new claim against the same project and fiscal year, and reference the original in the narrative.
- It does not push to your tax adviser's filing system. Export the narrative or use the API to integrate.
